Terms of use

The rules for using Agman — what we provide, what your society is responsible for, and what we are not.

Agman (आगमन) is a gated-community and visitor-management platform operated by BIG HELPERS SOFTWARE AND SOLUTIONS PRIVATE LIMITED (“BigHelpers”, “we”, “us”), a company registered in India (CIN U72200MP2008PTC021190) with its registered office at HIG-2, M.P. Housing Board Colony, Tikuri, Katni 483501, Madhya Pradesh, India. These terms govern the Agman website, web app and mobile apps.

1. Acceptance and who these terms bind

By signing in to Agman, or by using any part of it, you agree to these terms. They apply to everyone who touches the platform:

  • Societies and RWAs that adopt Agman for their gate and roster.
  • Office bearers — president, secretary, society admin — who set up and run the society on Agman.
  • Residents and the family members or cohabitants they add to a household.
  • Security guards who use the guard app at the gate.

If you accept these terms for a society, you confirm you are authorised to bind that society. If you do not agree with these terms, do not use Agman.

2. What Agman is — and what it is not

Agman is software. It records visitor entries, routes approval requests to the right resident, issues gate passes, keeps a household and vehicle roster, carries gate messages, and logs who did what and when.

Agman does not provide physical security. We do not employ, supply, train or supervise guards, and we do not patrol, respond to incidents or provide emergency services. Agman does not replace your society's own security arrangements, guard agency contracts, CCTV, or the judgement of the person at the gate. Every decision to admit or refuse a visitor is made by your residents and office bearers — Agman only records and communicates it.

Agman is a record-keeping and communication tool, not a security guarantee. It does not make your gate safe by itself, and it is not a substitute for guards, physical checks or the police. Your society remains fully responsible for its own security.

3. Accounts and sign-in

You sign in with your mobile number and a one-time code sent by SMS. There are no passwords in Agman, and we do not store one. Delivery of the code depends on a third-party SMS provider and on your network.

  • One mobile number per person. Do not create an account for someone else, and do not share your number's sign-in codes with anyone.
  • You are responsible for your device and SIM. Anyone who holds your phone and SIM can receive your code. Keep both secure and lock your device.
  • Tell us if things change. If your phone or SIM is lost or stolen, or your number changes, write to admin@bighelpers.in and tell your society admin so access can be moved or removed.

4. Society onboarding and verification

A society is added to Agman only after it is verified by the platform owner. During onboarding and afterwards, the office bearers acting for the society confirm that:

  • They hold a valid position in the society and are authorised to act for it.
  • They are permitted to enter and manage resident, household, vehicle and guard details in Agman.
  • The details they submit about the society and its members are accurate and kept up to date.

Each society is isolated from every other society on the platform. One society can never read another society's roster or records.

5. Roles and responsibilities

Office bearers

Keep the resident and guard roster accurate, and remove people who have moved out or left the job. Grant admin rights only to people who genuinely hold that role. Sensitive actions are recorded in an audit log, and the society is answerable for them.

Residents

Enter household members, vehicles and frequent visitors truthfully, and mark a member as a minor where that applies — parental or guardian consent is captured before such a record is created. Approve only visitors you actually expect. A gate pass is issued for a specific visit; do not forward, resell or publish it.

Guards

Record entries as they actually happen — real visitor details, real timestamps, no entries invented at the end of a shift. Use the app only on duty and only for the society you are posted to. Do not admit a visitor on a pass the app has not verified.

6. Acceptable use

When using Agman you must not:

  • Use it for anything unlawful, or to harass, threaten, stalk or intimidate anyone — residents, guards, staff or visitors.
  • Attempt to bypass, forge, replay or tamper with gate-pass verification, or reuse a pass captured from someone's screen.
  • Try to reach another society's data, another household's records, or any account that is not yours.
  • Scrape, bulk-export, probe, reverse-engineer or overload the service, or use bots against it.
  • Upload photos or content that is unlawful, obscene, defamatory, or that you have no right to upload.
  • Use resident or visitor contact details for marketing, canvassing or any purpose unrelated to running the gate.

7. Visitor data is the society's responsibility

Visitor and entry records belong to the society that creates them. The society decides what is collected at its gate and is responsible for collecting it lawfully — including telling visitors that their details, and any photo, are being recorded and why. Agman provides the tool and the storage; it does not set your society's gate policy. Office bearers should make sure guards know what they may and may not ask a visitor for.

8. Availability

Agman is provided on an "as is" and "as available" basis. Service may be interrupted for maintenance, upgrades, network or power failures, SMS delivery problems, or events outside our control. We do not promise uninterrupted or error-free operation.

Plan for that. Your gate must keep working without the app — keep a paper register or another fallback at the guard post, and make sure guards know what to do when a phone, the network or the service is down. Gate passes are verified offline by the guard app, but that alone is not a fallback procedure.

9. Suspension and termination

We may suspend or remove access — for a person or for a whole society — if these terms are breached, if the platform is being misused or attacked, if a society's verification cannot be maintained, if we are required to by law, or if we discontinue the service. Where it is reasonable to do so, we will tell the society first.

A society may stop using Agman at any time, and an office bearer may remove a member who no longer belongs to the community. Records are retained while a membership is active, and thereafter only as long as needed for the purposes described in our privacy policy or as required by law. Visitor and entry logs are society records. For deletion or export requests, write to admin@bighelpers.in.

10. Intellectual property

The Agman software, apps, design, documentation, and the Agman and आगमन names and logos belong to BigHelpers. Using Agman gives you permission to use it as intended — nothing more. Do not copy, modify, distribute or create derivative works from it, and do not use our name or branding without written permission. The data your society enters remains the society's own.

11. Limitation of liability and indemnity

Agman records and routes gate decisions. It does not guarantee that a visitor is who they claim to be, that an entry was correctly approved, or that no incident will occur. To the extent the law allows, BigHelpers is not liable for loss, theft, injury, trespass, damage or dispute arising from what happens at your gate, from decisions residents or guards make, from inaccurate data entered into Agman, or from the service being unavailable.

We are also not liable for indirect or consequential loss. Nothing here limits liability that cannot be limited under Indian law. If a society's misuse of Agman leads to a claim against us, that society agrees to cover the reasonable cost of dealing with it.

12. Governing law and jurisdiction

These terms are governed by the laws of India. The courts in India have exclusive jurisdiction over any dispute arising from Agman or these terms. Data is hosted on infrastructure located in India.

13. Changes to these terms

We may update these terms as the product changes or the law requires. The date at the top of this page always shows the current version, and material changes will be notified in the app. Continuing to use Agman after a change means you accept the updated terms.
