Privacy policy
What Agman collects, why, who can see it, how long we keep it — and the rights you have over it.
Agman (आगमन) is a gated-community and visitor-management platform operated by BIG HELPERS SOFTWARE AND SOLUTIONS PRIVATE LIMITED (“BigHelpers”, “we”, “us”), a company registered in India (CIN U72200MP2008PTC021190) with its registered office at HIG-2, M.P. Housing Board Colony, Tikuri, Katni 483501, Madhya Pradesh, India. This policy explains, in plain words, what personal data Agman handles and what you can do about it. It covers the Agman website (agman.in), the web app (app.agman.in) and the Android and iOS apps.
1. Who this applies to
This policy applies to everyone whose data passes through Agman:
- Residents and the family members or cohabitants in their household.
- Society office bearers — president, secretary, admin — who run the society on Agman.
- Security guards who use the guard app at the gate.
- Visitors whose entry is recorded at a society's gate.
- Shopkeepers and their staff — the sabzi wala, kirana or dairy a society adds to सब्ज़ी-भाजी, and anyone they let help run the shop.
2. The personal data we collect
Account and identity
- Your name and mobile number. The mobile number is your identity in Agman — it is how you sign in.
- Your role (resident, office bearer, guard, platform owner) and membership status.
Society and household
- The society, block and flat you belong to.
- Household members you add — name, relation, and whether the person is a minor.
- Vehicles — number plate, and optionally make and model.
- Frequent visitors you register (for example domestic help) — name, mobile and category.
Gate and visitor records
- Visitor entries — visitor name, optional mobile, optional photo, purpose or category, vehicle number plate, timestamps, and who approved or rejected the entry.
- Gate messages left for a household, and pre-approvals you create.
Guard records
- Guard profile — name, mobile, photo, ID type and only the last 4 digits of the ID, PSARA certificate details, duty roster and attendance.
सब्ज़ी-भाजी — shops and orders
This applies only in societies that have switched the सब्ज़ी-भाजी facility on. If your society has not, none of the following exists for you.
- For a shopkeeper: the shop's name, category, address, opening and delivery times, up to three additional contact numbers, and the UPI ID you want residents to pay into. Your name and primary mobile are the society's record of who the shop belongs to.
- For shop staff the shopkeeper adds: name, mobile and their role at the shop.
- The shop's stock list — item names, units and rates. Rates are set by the shopkeeper; Agman does not price anything.
- For an order: the items and quantities, the total, the flat it goes to, who placed it, the order's status, and — if you say you have paid — the UPI reference number you enter. This is a record of what you bought, and we hold it as such.
Agman never touches your money. Payment happens directly between you and the shopkeeper over UPI. When you tap to pay, your own UPI app opens with the shopkeeper's ID and the amount filled in — Agman is not a payment gateway, holds no funds, takes no commission, and never sees your bank, card or UPI PIN. The only payment detail we store is the reference number you choose to type in, so the shopkeeper can match it to your order.
Technical
- A sign-in token and your language preference, stored on your own device.
- Audit logs of sensitive actions — who did what, and when.
Agman contains no advertising SDK, no analytics SDK and no crash-reporting SDK. The app does not read your location, your camera, your photos or your contacts, and does not ask for those permissions.
3. Aadhaar — what we never keep
Agman never stores a full Aadhaar number. When an identity is verified, we keep only the outcome (verified or not) and the last 4 digits, so you can recognise your own record. The full number is not stored anywhere in our systems — not encrypted, not hidden, simply not kept. This applies to guards and residents alike.
4. Why we collect it
Every item above exists to run the gate — or, where a society has switched it on, to let you buy from the society's own shopkeepers. Nothing is collected for any other purpose:
- To sign you in and keep your session secure.
- To route a visitor's arrival to the right household and record the decision.
- To issue and verify gate passes.
- To maintain the society's roster of homes, residents, vehicles and guards.
- To give office bearers accurate records and an audit trail of sensitive actions.
- To carry an order from a resident to a society shopkeeper, show the shopkeeper which flat to deliver to, and let both sides see the order's status.
- To meet legal obligations where they apply.
We do not profile you, and we do not use your data to target advertising. There is no advertising in Agman.
5. Consent, and how to withdraw it
You give consent when you sign in and when you add information about yourself or your household. A notice describing the purpose is shown at the point where data is collected. You can withdraw consent at any time by writing to admin@bighelpers.in or by asking your society admin to remove your record. Withdrawing consent means Agman can no longer operate the gate for you — for example, your pass will stop working — and it does not undo processing that already lawfully happened.
6. Children and minors
A household member can be marked as a minor. Before such a record is created, Agman captures and records the explicit consent of the parent or guardian adding them. We do not track children's behaviour and we do not direct advertising at children. A parent or guardian can ask us to remove a minor's record at any time.
7. Who can see your data
- Strict per-society isolation. One society can never read another society's roster or records. This is enforced in the software, not by policy alone.
- Your household — approved members of your home can see the home's visitors, vehicles and household list.
- Office bearers of your society can see the society roster, approvals and gate records for the society.
- Guards on duty see what they need at the gate — the flat being visited, the pass result, and the visitor details they record.
- Visitors' records are records of the society that created them.
- Shopkeepers see only their own shop: the orders placed with them, and for each order the flat it goes to, the items and the payment reference. A shopkeeper cannot see the society roster, your visitors, or any other shop's orders. Residents see a shop's name, category, timings and contact numbers.
- Agman staff access production data only when necessary to operate or fix the service, and such access is logged.
8. Sharing and third parties
We do not sell, rent or trade personal data. We do not share it for marketing. Data is shared only with:
- Our SMS provider, strictly to deliver your one-time sign-in code and service messages (the provider receives your mobile number and the message).
- Our hosting provider, which stores the data on infrastructure located in India.
- Authorities, where we are required by law to disclose — and only to the extent required.
Both of those act only on our instructions, and only to run the service.
One more thing happens on your own phone rather than on our servers: when you choose to pay a shopkeeper, Agman opens your UPI app with the shopkeeper's UPI ID and the amount already filled in. From that moment you are dealing with your UPI app and your bank, not with Agman, and their privacy terms apply to what follows. We do not send them anything about you, and nothing comes back to us — you tell us the reference number yourself, if you want to.
9. Where it is stored, and for how long
Data is hosted on infrastructure located in India. We keep records while your membership is active. After that, we keep them only as long as needed for the purposes described here, or as long as the law requires — then they are deleted or anonymised. Visitor and entry logs are records of the society and are retained under the society's own retention practice.
Orders are kept as the shopkeeper's record of a sale and the flat's record of a purchase. If you delete your account they stay, because they are the shopkeeper's books too — but your identity is removed from them, as described in the next section.
10. How we protect it
- No passwords. Sign-in is a one-time SMS code, so there is no stored password to leak.
- TLS encryption for data in transit.
- Signed gate passes. Each society holds its own Ed25519 key; passes are cryptographically signed and verified offline at the gate, so your comings and goings are not phoned to a server for checking. A single-use nonce prevents a screenshot being replayed.
- Role checks and least privilege on every request, plus audit logging of sensitive actions.
We take security seriously, but no system is perfectly secure. If you believe your account or your society's data has been compromised, tell us immediately at admin@bighelpers.in.
11. Your rights
You can ask us to:
- Access — get a summary of the personal data we hold about you and how it is processed.
- Correct or complete — fix data that is wrong, misleading or out of date.
- Erase — delete data we no longer need for the purpose it was collected for.
- Withdraw consent — as described in clause 5.
- Nominate — name someone to exercise your rights if you die or become incapacitated.
- Complain — raise a grievance and have it answered.
To exercise any of these, email admin@bighelpers.in from your registered mobile number's associated address, or include your registered mobile number and society so we can identify you. We will respond within a reasonable period. Some data may need to be retained where the law requires it, and we will tell you if that is the case.
12. Deleting your account
You can delete your Agman account yourself, from inside the app — you do not have to email anyone or wait for us. Open the ? menu on any screen, choose My account, then Delete my account. The app shows you exactly what will happen, and asks for a fresh one-time code sent to your own number before anything is removed, so that a phone left unlocked on a table cannot delete your account.
What is removed straight away:
- Your name, mobile number and sign-in. Your number is freed — if you ever come back, you start with a clean account.
- Your identity on every society membership: the society's row for you is stripped of your name, number and relationship and left only as “Deleted account”.
- Your guard profile, including the ID-document details and PSARA certificate, if you had one.
- If you ran a shop, the shop is closed and taken off the society's list.
- Your household's vehicles, frequent visitors, gate messages and pending pre-approvals — but only if you were the last member of your flat. If your family still uses Agman, their records are theirs and stay.
What stays, and why:
- Gate entries — who came to the society and when. These are the society's own security record, not yours alone, and one resident cannot erase them. Your name is detached from them.
- Orders you placed, as the shopkeeper's record of a sale — with your identity removed.
- Audit records the law and basic security require. They keep what was done, no longer who did it.
Deletion is immediate and cannot be undone. If you would rather we did it for you, or you cannot reach the app, write to admin@bighelpers.in and we will do it on your behalf.
13. What is stored on your device
Agman stores a sign-in token and your language preference on your device so you stay signed in and in your chosen language. We do not use third-party advertising or tracking cookies. Signing out removes the token.
14. Changes to this policy
If we change how we handle personal data, we will update this page and change the "last updated" date above. Significant changes will also be announced inside the app on the What's new screen.
